Executive/Personal Assistant (Full Time)

Job Profile

The Executive/Personal Assistant is a dynamic leadership support professional who conducts clerical, professional and personal tasks, enabling the Bear Family Restaurants president to focus on higher-level responsibilities.

Job Description

Essential Job Functions

  1. Provides sophisticated level of calendar management. Prioritizes inquiries and requests while troubleshooting calendar conflicts. Makes assessments and recommendations to ensure smooth day-to-day engagements.
  2. Acts as gatekeeper for president’s calendar – creating win-win situations for direct access to president’s time.
  3. Works closely and effectively with president and his leadership team members to keep them well informed of upcoming commitments and responsibilities.
  4. Manages prioritization of email. Makes president aware of critical communications and priority deliveries.
  5. Drafts emails and professional correspondence when directed to do so.
  6. Communicates agreed upon messaging on president’s behalf to other owner/operators, McDonald’s representatives, community representatives, etc., as requested.
  7. Compiles documents or reference materials in preparation for webcasts, committee meetings, and one-on-one business meetings, etc.
  8. Proactively handles delegated assignments, follows up, and summarizes. Summaries may be verbal or written depending on each assignment.
  9. Coordinates logistics for all leadership team meetings, retreats, and assists with staff meetings and Bear Family Restaurants events as needed.
  10. Organizes, maintains and updates president’s filing systems and office space.
  11. Arranges both personal and professional travel itineraries.
  12. Manages office tenant relationships in areas such as communication, billing reconciliation, and lease contracts.

Education and Experience

  1. Bachelor’s degree preferred.
  2. Strong work tenure: 4-8 years of supporting organization executives with some personal concierge/valet duties preferred.

Office Work Environment Requirements

  1. Experience in writing internal and external communications.
  2. Proficient in Microsoft Office (Word, Excel, PowerPoint) Adobe Acrobat, Dropbox and other cloud-based environments.
  3. Ability to compose and edit graphic presentations and materials.
  4. Is adept at learning new technology as required for the role.

Remote Work Environment Requirements

  1. May be required to attend to personal errands for the president.
  2. Position includes periodically working at the president’s residential office.
  3. Manages president’s home services and coordinates calendar appointments for on-property services such as landscaping, house-cleaning, lawn irrigation, etc.
  4. May from time to time be asked to fulfill concierge duties such as dropping off and picking up of dry cleaning, transporting pet dog to and from nearby boarding facility, etc.

  2. Exceptional organizational skills and impeccable attention to detail.
  3. High degree of professionalism in dealing with diverse groups of people, including community leaders, guests, staff, McDonald’s representatives, vendors, and suppliers.
  4. Ability to complete a high volume of tasks and projects with minimal guidance.
  5. Maintains a high level of integrity and discretion in handling confidential and proprietary Bear Family Restaurants information.
  6. Models strength, flexibility and optimism in changing and growing business environment.

Accounting Coordinator (Full Time)

The Accounting Coordinator assists with a wide range of accounting, payroll, and administrative tasks within the Finance department.

Job Description

Essential Job Functions

  1. Assists accounts payable staff with ongoing processing and priorities management and maintaining customer and vendor database.
  2. Partners with staff in standard month-end closing procedures.
  3. Acts as a back up to various accounting related staff in their absence.
  4. Performs various weekly, monthly, and quarterly duties as assigned by the director.
  5. Assists payroll specialist in executing regularly scheduled payrolls for all BFR restaurant employees.
  6. Assists in the administration of paid sick leave/personal time off benefits for all employees.
  7. Supports financial analyst with special assignments or projects.

Backup/Secondary Supportive Duties

  • Acts as backup support for management of daily cash deposits.
  • Partners in managing accounts payable mailbox.
  • Processes accounts payable for payment.
  • Can execute automated clearing house (ACH) sales tax payments.

Additional Knowledge, Skills, Education or Certifications

  • Coordinator work experience: 2-4 years general accounting, payroll, accounts payable and month end processing related responsibilities.
  • Adept at technology usage, and proficient in Microsoft Office (Word, Excel, PowerPoint) Adobe Acrobat, Dropbox and other cloud-based environments.
  • Working experience with Proliant or a similar electronic payroll system is a plus.
